Add a Private Note to a Contact and It Surfaces on All Their Quotes

If you’ve used Private Notes in Quotient, you’ll know how handy they are: little internal reminders and context that your customer never sees.

Until now, that note lived only on a single quote. Start a new quote for the same customer and it was easy to forget it was ever there.

New: Add a Private Note to a Contact

When creating a Private Note you can now choose to apply it to the Contact rather than just the current quote. Once saved, it’ll automatically surface every time you create a new quote for that same customer, front and centre before you get started. Your team sees it, takes note, and nothing slips through the cracks.

Private Notes can be created from within a quote or directly from the Contact Screen, where you can also view all the notes applied to that customer. If you haven’t checked out the updated Contact Screen yet, take a look at what’s new here.

As your business grows and those little details pile up, this keeps the important things exactly where you’ll see them.

Add a Private Note to a Contact

Businesses are applying notes to their Contacts for all sorts of things:

  • Flagging time-wasters or slow payers so the team knows not to take on further work.
  • Highlighting site hazards or access issues before sending a technician out.
  • Reminding the team which clients expect itemised quotes.
  • Noting a customer’s preferences, quirks, or sensitivities.
  • Keeping a discount arrangement in place without having to remember it each time.

Here’s what that looks like in practice:

  • General Contractor: This customer has a history of requesting detailed quotes and then either disappearing or disputing every invoice. Do not prepare any further quotes until previous work is paid in full.
  • HVAC Maintenance: There’s an aggressive dog that has free run of the back yard where the outdoor condenser unit is located. Always remind the customer to have it secured before confirming any service visit.
  • Web Design: Brendon likes to see a detailed breakdown of exactly what’s included before he signs off. Keep quotes thorough and well-itemised, as a vague quote will lead to a pricing conversation you don’t want to have.
  • House Washing: Heads up, take extra care with the chemical wash near Dale’s front garage. Last visit we damaged a large section of his griselinia hedge and had to wear the cost of replacing it. Not a fun conversation either!
  • Electrical: John’s home has an older non-standard switchboard that takes extra time to work around safely. Always factor in at least an additional hour of labour when quoting any electrical work at this property.
  • Catering: This customer responds really well to feeling like they’re getting a deal. Always apply a discount to their quotes. It keeps them happy and they’ve never failed to accept.
  • Signage & Print: Build at least two weeks into any quoted timeline for this customer, as all artwork must go through head office brand approval before they can give the green light. They’ve had to push back on tighter deadlines before.

Open any quote, add a Private Note, and choose to apply it to the Contact in just a few clicks. Or head to the Contact Screen and add it directly. It’s a small change that keeps the important details exactly where your team will see them.
